When you read-only access is implemented, the data that you hold on the system remains consistent and the application can continue to operate efficiently. This type of access will not change, but it will be easier to work with than when you have read/write access. An asset restructure also helps your company to become more efficient and less costly. When you have multiple systems and applications running on the same server, you have to make certain that everything stays synchronized so that your applications will work correctly. There are several advantages to an asset manager that are not often considered. For example, you can determine how to consolidate your data by asset type so that you only have one set of information for all your operating systems. You can also determine if the asset should be placed in read/write or read-only. If a competitor asset is deleted, you will be able to determine what action needs to be taken to restore this asset so that you do not lose any data. You might also be able to determine which version of the application has to be used so that there is not duplication of data. The asset manager will place the assets that are read-only into categories. These categories will include application groups. These application groups will generally be easy to identify and you will be able to determine what version of the application needs to be used to perform specific functions. You might want to create a sub-group for accounting purposes and another for manufacturing. Then, you would have your category, which would be read-only, and then the sub-groups which would be maintenance, production, accounting and so forth. Another asset is the maintenance-enabled organization. With an enterprise resource planning system you can maintain all the applications that are needed in all the departments that are part of your business. The only thing left would be those applications that are used directly by the customer and/or personnel in the customer organization. For example, suppose that there is a database for your billing department that is used by all the accountants in the company. All these employees will have to go online via a web browser to access this database and view the work orders. When these employees request a new work order form, the operating organization can provide them with an application that is read-only. This read-only application could be provided to them over the Internet and the application will be maintained on the company network. This type of application is maintainable asset because it can be backed up on the servers in other locations. If the employee finds that the requested work order no longer exists, they can simply file an inquiry over the Internet and the operating company will have the ability to supply the necessary application. The problem occurs if the application that is requested does not exist on the parent asset number or it is not retrievable. For example, suppose that we want to create a new customer record that is read-only. We develop the application ourselves and it does not exist on the original customer record. We cannot obtain the record from the parent asset number and then we discover that we cannot access our own asset number to create the read-only record. We discover that another set of maintenance organization must have created the read-only record because the other set is maintainable asset. This situation is called conflicting assets and can create a problem for both sets of assets. It is easy to see how the situation can become muddled in such cases but there are some simple techniques that can be used to create organizational relationships that are more effectively maintained. First, when you create work orders with a product or service that you sell, make sure that you specify that the orders are to be maintained on a read-only basis. Second, if the product is maintainable, make sure that you specify that the work orders should be maintained on a read-only basis also. This ensures that you maintain a direct relationship between the product and the maintenance-enabled organization. Finally, make sure that you do not share the read-only version of the work order with any other company. Sharing the read-only version will only serve to complicate matters. In many cases, it is better to create separate customer asset groups. This ensures that the asset groups are properly supported and maintainable and is an important part of asset management. |
